Minutes of the ABIA Annual Meeting held 5/7/2011,

The annual meeting of the ABIA was opened by President Sandie Markland at 7:00 pm on May 7, 2011.
There were 26 members present. Sandi welcomed the members and introduced the Board members. The minutes from last year’s annual meeting had been printed and given to each member to review. A motion for the minutes to be approved as printed was made by Harry F. and seconded by Ron S.  Minutes were approved by the members.

Lesley B. was recognized for her service to ABIA in the past years. Her hard work and organization has kept the organization active to date. Chuck B. was recognized as serving as Co-President for the past year, ending in May of 2010.  Sandie thanked those members who were a part of the fun, work party at the ocean lot at 8:00 am on this date. There were 17 members who participated in the clean-up.

Treasurer’s Report: Carol S. gave the following report:  Beginning Balance $10,212.50; Deposits: $9660.00: Expenses $3484.43; Balance as of 4/30/2011: $16,388.07. Itemized Expenses: Lot Maintenance $843.39--Website $324.46—Printing $773.29—Postage/PO Box $628.75—Insurance $627.50—OB Hauling/Recycle $89.40—Picnic $197.64. Three items had considerable differences from last year; the lot maintenance (less $936.38) due to no major repairs; Printing (less $307.12) due to Sandie doing most of the printing on her home computer. (Thank you, Sandie, for your time and expenses.) The third item was the insurance for the ocean and sound front  properties -- an increase of $377.50. Other expenses stayed about the same. Also on hand are a CD $11,306,87 and Money Market $7,594.25. Those two accounts are held as a contingency fund for bulkheads on the sound and ocean lots when they need to be replaced.  Howard K. made the motion to approve the report. It was seconded by Harry F. Members approved.

Old Business: The annual picnic will be on Sat. October 22 at 12:00 pm, again this year, at the home of Chris and Carol Sterner’s home 2039 New Bern St. They continue their generosity by opening their home to all paid members of ABIA.  A reminder of this event will be posted on the Website. 

New Business:  To increase the parking for non 4-wheel vehicles and to improve the lot, a motion was made by Ben S. and seconded by Mary T. to apply to CAMA for a permit to repair the lot. There are limited improvements that can be done and the cost will be determined as to the materials usable. If the permit is approved, Sandie will notify the membership of the procedure and cost, and seek approval to proceed with the project at a later date.  Members approved the motion. A motion was made from the floor, by Lois P, to increase the dues to $35.00 a year. It was not seconded so the motion became void. A motion was made to increase the dues to $30.00 a year for 2012 by Ron S and seconded by Bill F. Members approved.  A motion to hire a professional lawn maintenance company to cut and edge the ABIA Sound Lot picnic area was made by Mary T. and seconded by Paula F. Two bids had been submitted ranging in cost between $300 - $500 for the year. The awarding bid will be determined by the Executive Committee. Doris reported on the number of permits that have been issued this year compared to last year, which was 254 to 145 respectively.  The newsletter requesting the permits be obtained prior to the season seems to have been effective.

Open Forum: These subjects were discussed:  Annual newsletter being sent solely electronically; Holding a community yard sale. 

Motion to adjourn was made by Harry F and seconded by Lesley B. Meeting adjourned at 8:10 pm.
